ReSurge International, Administrative Assistant, (part-time; 20 hours per week)


Position Description

The Administrative Assistant reports to the Chief Development Officer and the Chief Marketing and

Communications Officer. S/he:

  • Provides administrative assistance and clerical support for the departments of development and marketing, supporting both department heads.

  • Is responsible for confidential and time-sensitive material.

  • Is able to effectively communicate via phone and email ensuring that all duties are completed accurately, delivered with high quality and in a timely manner.

  • Relies on experience and judgment to plan and accomplish goals.

A wide degree of creativity and latitude is expected.

 Responsibilities and Duties

  • Update and maintain donor information in database

  • Update and manage email lists in email marketing software

  • Receive, sort and route incoming mail

  • Assist with daily donation deposits

  • Reconcile and submit expense reports

  • Responsible for merging, printing, assembling and mailing donor thank you letters on a weekly basis

  • Assist with annual fundraising gala on a Saturday evening in October

  • Organize travel arrangements for development and marketing trips

  • Maintain computer and manual filing systems

  • Handle sensitive information in a confidential manner

  • Tag and organize photos as we receive them as well as those already on-hand

  • Correspond with or call ReSurge surgeons overseas to obtain patient and trainee stories and photos

  • Maintain a database of patient photos and stories

  • Assist with social media posts

  • Produce monthly reports of marketing and communication metrics

  • Perform other related duties as required

Qualifications and Requirements

  • Proven administrative experience

  • Strong interpersonal, verbal and writing skills a must

  • Goal-driven self-starter who can work independently and as part of a team

  • Exhibit strong organizational skills and “follow through” on tasks and goals

  • Excellent time management skills and ability to multi-task and prioritize work

  • Ability and willingness to learn and effectively use different software packages

  • Proficient in MS Office and preferred Raisers Edge and or other donor management

    systems. 

  • Five (5) years minimum relevant experience

The responsibilities and duties must be fulfilled in the ReSurge office. Working hours are negotiable

(as long as they are consistent and within ReSurge business hours).
