We are poised for dramatic growth and are currently in need of a strong, experienced and highly professional Contract Administrator/ Executive Assistant.

Position OverviewPrimary Responsibilities:

Construction Contracts/Consultant Contracts & Change Orders

  • Issuance Of Contracts/Agreements and Change Orders/ ASA ( Add Service Amendment) for each project as directed by Senior Vice President of Construction or Director of Construction

Maintain SHAC Contract Logs

  •  For All New Contracts, Change Orders (ASA)

Construction Pay Apps (Invoices)

  •  Process invoices for approval and interface with Accounting department for payment

Maintain Construction Binders - Pay Apps & Change Orders

Timberline Entry

  •  Entry of new contract, ASA’s

  • Adjustments

  • Reports

General Filing
 E filing in designated Project folders
 Hard copy filing for each project in dedicated areas and binders

Fed Ex / Overnight Packages/ Mass mailing

  • Direct Calls & Email Correspondence

  • Meeting Minutes Recording/ Distribution

  • Interface with Consultants for follow up requests

  • Assist with the close out process for projects (once completed)

  • Administrative support to the Senior Vice President of Design/Construction, Design/Construction team

    and special projects for Chief Operating Officer

  • Assist with preparation of Board minutes and Presentation binders for the “GO Meetings”

    Skills & Experience:

    • HS diploma or equivalent

    • Administrative experience within the Construction industry is preferred

    • Knowledge of Microsoft Excel / Outlook and Timberline programs

    • Highly organized, flexible and able to prioritize tasks in a fast paced and demanding environment

    • Good verbal and written communications skills

    • Positive attitude, team player, self-motivated and excellent phone skills
